Writing an application: Cover letter, CV and attachments

In short: An application consists of a cover letter, a tabular CV and attachments such as certificates; it should show why exactly you fit the position.

In more detail: HR staff often read an application only briefly. Clear structure, error-free language and a recognisable reference to the position make the difference. This applies to apprenticeships and jobs. For IT occupations, projects and skills you can demonstrate also count.

In Depth

The cover letter

One page in which you explain why you are interested in exactly this position and company and what you bring. Structure: subject line with job title, personal salutation (with name if possible), introduction with reference to the advertisement, main part with two to three strengths and evidence, closing with the wish for an interview. Avoid phrases such as “I hereby apply” and repeating the CV. Evidence instead of claims: instead of “team player” a short example.

The CV

Tabular, reverse chronological (newest first), usually one to two pages: personal data, school and education, internships and jobs, skills (programming languages, languages, software), interests and involvement. Explain gaps honestly and briefly. A photo is optional and may not be demanded in Germany. Date and signature at the end.

Attachments

Certificates (current school report), internship confirmations, certificates, for IT occupations preferably a link to projects (for example on GitHub). Everything as one PDF file of reasonable size with a sensible name (for example Application_First_Last.pdf). Submit original documents only on request.

Tips

  • Check spelling twice and have a second person read it.
  • Adapt it for every application, no mass mailings.
  • Use a professional email address.
  • An application tracker (see tools) helps keep deadlines and replies in view.
  • After about two weeks ask politely.
  • Data protection: give only necessary details, no ID numbers, religion or marital status that is not asked for.
